  2. There exists any reasonable doubt about the security of the item.
  3. Technical support is required

General Procedures

  1. Equipment requests for classroom use are to be placed by e-mail at least two business days prior to the intended use. Confirmations will be sent to requestors to verify availability. Course requests inside of 2 business days may be filled, depending upon the availability of staff and equipment.

  2. Priority II requests will be confirmed two business days prior to schedule use, once all course-related requests are filled. In the event of a Priority II request being "bumped", equipment may be rented at requestor expense from a commercial provider. Priority II requests require an IU South Bend Account Number

  3. Equipment is scheduled on a first-come, first-served basis, with priority given to credit-based instruction.

  4. Instructional equipment will be delivered and setup in the classroom by the "start time" of class. Class start time is defined as scheduled by the registrar and as it appears in the semester course catalog.

  5. Most equipment is available for use on university property only. IMS will assist in arranging for off-campus requests through commercial equipment providers. Fees for these services are the responsibility of the requester.

  6. Orders requiring a dedicated technician must be placed at least one week in advance. Fees for these services are the responsibility of the requester.

  7. IMS computers operate on a standardized software build that is developed to support student instruction. Request to add specific software should be directed to the IT Helpdesk Software builds on IMS computers are re-built on a scheduled basis, which removes any unauthorized software.

  8. IMS is not liable for damage of any personal software, or digital or magnetic media that occurs as a result of mechanical or human error.

Equipment Use In Non-Classroom / Conference Area Locations

It is the policy of IMS that equipment not be used in places such as hallways, lounges, personal offices, or outdoor areas. Requests for exception to this policy may be discussed with the Director of IMS.

Departmental Equipment

IMS does not purchase or support equipment that is used exclusively by a particular department or division. This equipment is generally purchased with funds generated by a division or department and is usually housed within that department. IMS does provide consultation on the purchasing, maintenance and proper use of the equipment. It is strongly recommended that departments consult with IMS before purchasing any AV equipment.

Use of Equipment by Students

Student use of equipment is generally not permitted. Exceptions include VHS camcorders for class projects, when the instructor makes the request. IMS staff will consult with students concerning needs, but typically do not train students in operation of equipment, or assist students in the development of media.

Availability of Technical Support

When classes are in session, technical support is available Monday through Thursday, 8 a.m. to 9:30 p.m., and Friday from 8 a.m. to 5 p.m. Technical support is limited during evening hours, when only one IMS technician is on duty. No technical support is available on Friday evenings or on weekends.

Support of Departmental Space

IMS does not provide routine AV support of events held in the Student Activity Center or departmentally controlled rooms, such as the School of the Arts auditorium.
