CateringWe are eager to help plan your catered event. From an informal morning coffee for five to a banquet for 100, we will work with you to fulfill your needs. We strive to provide you with fine foods and excellent service at a reasonable cost.
The Dining Services staff consists of an Executive Chef and a variety of service professionals with years of experience, that can help tailor any event to meet and exceed your specifications.
When planning a catered event on the IU South Bend campus, your first step is to contact the Director of Dining services or Events Specialist:

The following information will give you a good idea of our menu and services, but it is only a guide. You are not limited to these choices. Our managers and staff are knowledgeable in food and service, and we invite you to challenge us with new ideas.
Guarantee - A firm guarantee of the number of people attending the event must be given to Dining Services three business days prior to the event. Business days are Monday through Friday.
Cancellations - Notification of a catered event cancellation is required 48 hours in advance. The sponsoring organization will incur all costs after that time.
Billing - Charges will be for 100 percent of the guaranteed number or the actual number served, whichever is higher. The organization or department will be billed following the event.
* All invoices and billings will be issued with the sales tax amount.
Food and beverage carry in/out policy - Food and beverages will not be allowed to be brought in for any contracted catered event. In observance of food, health, and safety regulations, groups are not permitted to take home food left from buffets or served meals.
Returns and pick-ups - In observance of health regulations we are not allowed to take back and credit unused beverages and/or food items. All items left at the time of clean up will be disposed of properly.
Extra labor charges - Events occurring after 5 p.m. Monday through Friday, weekends, and are less than 25 attendees; will incur extra labor charges, depending on these factors:
1) Amount of advance notice.
2) Time and day of event.
3) Size of event (charges will be waived for large events).
Catering Procedures and Information
How do I order food/drinks for my meeting/event?
All catering orders using campus or IU Foundation funds need to be placed with the Special Events Office. Special Events Coordinator Maureen Muldoon will then work with the requesting unit and Dining Services to make arrangements for catering your event. Do I still need to complete the hospitality form?
Yes. The hospitality form is completed by the person ordering and sent to Kathleen Pizana, director of Accounting Services for approval.
How do I know what food/drink options I have?
Sample menus are listed on the Dining Services website and customized menus can also be created for you. Maureen will discuss menu options with you to meet your needs and budget.
How do I know I am getting my order at a competitive price?
Sodexo places bulk orders which allows for competitive prices.
How do I pay for my order?
You will need to provide Maureen with your university account number or your IU Foundation account number.
What if I don’t have a university account or an IU Foundation account?
Maureen can make arrangements to accept personal credit cards, checks or cash.
Can Dining Services tailor a menu to meet my needs and budget?
Yes. Maureen will help you.
Can I order food items from Martin’s or other vendors that I’ve used before?
No. Because Sodexo has exclusive rights to food service on campus you must go through the Special Events Office for any catering needs.
Do I have to use this process if I am having a meeting/event at the Elkhart Center?
Yes. Maureen will help you make arrangements at the Elkhart Center as well.
